Purchasing Agent
Summary:
As our diligent Purchasing Agent, you will play an integral role in optimizing our organization’s use of funds towards purchases by assisting with bid solicitation, contract negotiation, and purchasing. Your cautious, “by the book”, decision-making skills will serve as a great asset as you ensure cost effectiveness and quality of products purchased. Due to the consistency of day-to-day responsibilities in this role, your preference for a steady, even pace of activity will be regularly met. We are Ogden Weber Community Action Partnership (OWCAP), and we are searching for a Purchasing Agent to ensure all purchases align with the needs of our organization – both financially and operationally.
What you’ll need to be our Purchasing Agent:
Unselfish and approachable with a preference for detailed, skill-based work
Patient, conscientious, relaxed and cooperative team worker
Accommodating and analytical, while producing highly precise and accurate work
- High school diploma or equivalent
- Two (2) years paid experience in a related field
- Education in a related field, such as purchasing or accounting, may be substituted for experience

What you’ll do as the Purchasing Agent:
- Exercises discretion and independent judgment in all functions of the position to comply with Federal, State, local, grantor, and OWCAP procurement laws, regulations, policies and procedures.
- Assist with maintaining a current listing of laws and regulations and assist with ensuring OWCAP fiscal policies and procedures are updated and monitored to ensure compliance.
- Provide recommendations for improvement in processes to the Financial Manager; provide training to staff on procurement procedures; provide periodic reports to Managers regarding status of purchase requests.
- Communicate with vendors regarding bids, contracts, and purchases; negotiate contracts and purchases in the best interest of OWCAP; ensure prices are reasonable and quality is acceptable.
- Price requisitions, ensure accuracy of requisitions and purchase orders; ensure required approvals, enter and track transactions in the accounting system; review, compare, and verify invoice accuracy for payment; reconcile shipping documents with invoices; research costs and/or availability of services for special projects as directed by management.
- Receive equipment, supplies and other products; inspect for accuracy, quantity and condition; notify requestor that items have arrived.
- Reconcile bank statements.
- Coordinates with Accounting Clerk II to ensure all purchase requests are accurately being processed.
- Reconcile OWCAP credit card statements.
