Position Summary:

Circles® is a community-based initiative that creates relationships across class and race lines, matching people of low income with middle- or upper-income volunteers. The program assistant’s primary role is assisting Circles’ staff with a variety of office duties and community relations tasks supporting the Circles Initiative. The Circles Program Assistant is responsible for data entry, volunteer files, scheduling volunteers, logistics of Circles Weekly Meetings and other duties to support the Circles Initiative.

Compensation:  

$19.25/hour - This is a part-time position of up to 20 hours/week, complete with accrued PTO (Paid Time Off), 403(b) retirement plan benefits, Short-Term Disability, Long-Term Disability, AD&D, Term Life Policy.


This job description is not intended to be all-inclusive; employees may perform other reasonably related duties as assigned by supervisory personnel.

Administrative Responsibilities

  • Supervise the logistics of weekly Circles meetings, managing volunteers, supplies, clean-up, materials etc.
  • Accompany Circles Coach on home visits
  • Assist Circles Coordinator and Circles Coach with recruiting, screening and training of volunteers
  • Manage all volunteer files, including applications, training, background check clearance, hours and notes
  • Create and organize meeting agendas, rolls, name tags, directional flyers, certificates, thank you cards, and other documents as needed
  • Attend weekly staff meetings in Provo
  • Ensure general inquiries and community requests are directed to the correct Circles staff member
  • Provide feedback and solutions with Circles coach
  • Responsible for data entry: input information quickly and accurately into computer databases and spreadsheets
  • Attending or presenting at recruiting events in the local community (may include Saturdays)
  • Oversee food orders and meal deliveries for weekly dinners
  • Other duties as assigned by the Circles Coordinator.

Qualifications:

  • Positive work ethic by behaving and communicating in a manner that fosters good relations with clients, customers, co-workers and supervisors
  • Provide for the confidentiality of all services and communications, both written and verbal
  • Ability to stay relaxed in the face of other people’s distress
  • Ability to provide one’s own transportation
  • Strong organizational skills in managing complex tasks with autonomy
  • Excellent verbal and written communication skills
  • Ability to work a flexible schedule
  • Two years’ experience in an office setting and/or in a receptionist position
  • Proficient with Microsoft Office Programs (especially Word and Excel)
  • Experience working with low-income families and community services preferred
  • Or combination of the above stated or similar education or experience (paid or unpaid)
