Administrative Assistant (part-time)

Admin/Operations

GENERAL OVERVIEW OF ROLE

The part-time Administrative Assistant will provide support to the Administrative Team with office operations and accounting tasks. Responsibilities include coordinating internal office needs, maintaining accurate financial records, and supporting clear communication with both internal USARA staff and external partners.


PRIMARY RESPONSIBILITIES 

Administrative and Office Support

- Provide administrative and clerical support to the Administrative Team and general SLC Recovery Community Center operations, including answering phones, greeting visitors, scheduling, and maintaining office supplies.

- Provide support to the HR Director throughout all stages of the employee life cycle, including recruitment, onboarding, benefits administration, personnel file management, and offboarding.

Bookkeeping and Financial Support

- Record and maintain financial transactions (purchases, expenses, invoices, and payments) in QuickBooks Online.

- Process accounts payable and accounts receivable, including tracking grant-related expenses for compliance.

- Reconcile bank and account balances.

- Assist Finance Director with grants, audits, and reviews.

- Collaborate with program and administrative staff with financial documentation as needed.

- Any other duties as assigned.


Qualifications

- Proficiency in QuickBooks Online or similar accounting software preferred.

- Knowledge of nonprofit accounting principles (GAAP) and grant financial tracking preferred. 

- Proficiency in Microsoft Office Suite (Word and Excel).

- Strong organizational skills and attention to detail.

- Excellent interpersonal and communication skills.

- Ability to work independently and maintain confidentiality.

- Team-oriented and willing to assist across administrative, financial and general office functions.


Education and Experience

- High school diploma or GED.

- 1-3 years of administrative and bookkeeping experience, preferably in a nonprofit setting.

- Although not required, a lived experience in addiction recovery is appreciated.


Physical Requirements

- Prolonged periods of sitting at a desk and working on a computer.

- May need to lift up to 15 pounds at a time.
